Give one object one stable entry
Start with a name precise enough to distinguish the item from its neighbours. A character name, a colour or a photograph may not identify the edition. Good Smile's Miku 3.0 feature page is an example of an official source for a specific version. Record the full name and source address, then assign your own simple reference code. Keep that code even if you later move the object to another shelf.
Describe condition in ordinary words
eBay's condition guidance varies by category and asks readers to consult the listing's details. For a personal register, do not compress everything into a proud label such as perfect. Note what you can observe: opened packaging, complete displayed accessories, a marked box corner, or an untested electronic function. Separate the product's condition from its packaging. A clear sentence is more useful later than an unexplained grade you invented for yourself.
Distinguish documents from memories
Keep an official reference, the actual purchase record if there is one, and your own notes in different fields. Then add the part that only you can supply: why the character mattered, who gave the gift, or which arrangement you enjoyed. You do not need to manufacture a story of rarity or future profit to justify keeping an object. A preview saved to a wishlist can also have a record, clearly marked as not owned.
Record changes without erasing the past
When you open a box, discover a missing part or pass an item to someone else, add a dated update instead of silently rewriting its history. If you photograph it again, keep the earlier file names and explain which view shows the current state. For controllers, distinguish a feature you checked from a feature copied from a specification page. This makes the register useful without pretending that every entry is a professional inspection.
Choose a format you will maintain
A small table, a local document or a few labelled folders can work. Keep a copy somewhere you control and avoid putting private addresses or order credentials in public collection posts. Begin with a handful of items rather than postponing everything until you have a perfect catalogue system. The purpose is continuity: when you return to a figure, card collection or controller months later, the record should help you recognize both the object and your reason for choosing it.
